LOCAL SERVICES · CALLPLAN GUIDE

AI receptionist for salons and spas

Help callers find the right service before requesting a time.

Callers may know the look or experience they want without knowing the service name on your menu. Your business information can explain listed options and guide the caller to a request your team can review.

Common calls and how to handle them

Service-menu questions

Share your approved descriptions, duration estimates, and price information. Route consultation-dependent services to staff for confirmation.

Appointment requests

Collect the requested service, preferred provider if any, and available times. Confirmed booking depends on your configured calendar workflow.

Policy questions

Explain your cancellation, deposit, and arrival policies exactly as supplied. Record requests for exceptions rather than granting them automatically.

What to collect for a useful follow-up

Choose the minimum information your team needs to respond. A concise request is easier to review than a long, unfocused message.

  • Requested service and preferred provider
  • New or returning client
  • Preferred dates, times, and callback details

Review call summaries and transcripts in your dashboard, then let the responsible staff member confirm the next step.

Example phone conversation

Illustrative script, not a recording or customer result. Use only services your business actually offers.

Caller
I would like a color appointment on Saturday.

CallPlan
I can take a request. Are you looking for a specific color service or a consultation, and do you have a preferred stylist?

The goal is a clear request and a useful handoff. Collecting these details does not confirm an appointment, price, or arrival time.

An idea to try: make the call path more specific

Include preparation requirements in your service descriptions, such as whether a consultation is required first. That helps the team avoid booking the wrong service duration.

Set up the workflow in CallPlan

  1. Supply your business knowledge. Add current services, hours, coverage, FAQs, and policies in your dashboard.
  2. Define the handoff. Specify the intake questions, transfer contacts, and situations that require a person.
  3. Check appointment handling. Decide whether to collect requests or use a configured booking workflow. Verify calendar readiness before confirming times.
  4. Review the experience. Try representative calls, check the resulting summaries, and update unclear or outdated instructions.

Essentials supports business answers, routine requests, configured transfers, and call summaries. If your workflow requires connections to existing software, discuss CallPlan Connect. Integration availability and scope depend on your tools and requirements.

Common questions

Does every appointment request become a booking?

No. Collecting a request is separate from confirmed scheduling. The account’s booking configuration and calendar readiness determine whether a time can be confirmed.

Can we keep our existing phone number?

Once your CallPlan service is activated, you can forward calls from your existing number to your assigned CallPlan number. Forwarding options depend on your phone provider.

What should we provide before getting started?

Start with the information in the intake checklist above, along with your approved answers and handoff contacts. Submit your Business and Agent information through the dashboard; payment alone does not activate call handling.
